Admin Job Description

An Admin receives emergency and non-emergency requests, records significant information, and takes appropriate action. The Admin provides timely response to customer inquiries, emergency requests, schedules workflow, job status information, and dispatches crews on a pre-set route for each driver daily. Admin engages with various customer requests and needs to guarantee the accuracy of information provided.

Job Duties

  • Acquire skills to use spreadsheets efficiently to perform related job functions.
  • Review and update spreadsheets on daily communications.
  • Assign jobs to crews based on customer time demands and urgency.
  • Route jobs to maximize efficiency and customer satisfaction in both distance and driving times when needed.
  • Monitor crew status throughout the day, and follow-up with job status daily.
  • Supply crew members with proper customer/job information.
  • Inform project managers of crew’s daily workload.
  • Schedule crews on same-day job assignments when needed.
  • Assist crew members with directions to destinations when needed.
  • Assist with customer requests, job changes, rescheduling jobs, and invoicing updates.
  • Process all billing upon completion of jobs.
  • Sends all job completion paperwork to customers.
  • Monitor, process, and escalate job issues to supervisor.
  • Assist crews with problems/issues as they arise throughout the job cycle.
  • Review and files crews’ paperwork.
  • Ensure that crews workloads are balanced daily.
  • Assist Superintendent as directed.
  • Update job data as needed.
  • Communicate performance standards and objectives.
  • Keeps management informed of current changes and new developments.
  • Perform other duties and responsibilities, as assigned.
  • Assist with inventory tracking.

Minimum Requirements

  • High school diploma or equivalent
  • 2+ Year experience, preferably in customer service
  • Proficient in Microsoft Office applications
  • Knowledge of spreadsheets
  • Solid job tenure and work ethic

  • Ability to multitask
  • Ability to remain calm under emergency situations
